Hi everyone, and welcome to AttendaTrac! My name is [YOUR NAME], and I'm excited to walk you through our school's new attendance and time-off management system. Whether you're a teacher, a teacher aide, or a school administrator, this platform is designed to make managing your time off simple, transparent, and easy to use — all in one place. By the end of this session, you'll know how to access your account, view your PTO balances, submit a time-off request, and if you're an administrator, how to manage and approve those requests. Let's go ahead and get started.

The first thing you'll need to do is check your email inbox — the email address your school has on file for you. You should have received an email with the subject line "You've been invited to AttendaTrac." If you don't see it, go ahead and check your spam or junk folder. [ PAUSE — point to the email on screen ] Inside that email, you'll see a button that says "Access AttendaTrac." Go ahead and click that button now. This will bring you to the login page. Since this is your first time, click "Sign Up" to create your account. Enter the same email address that the invitation was sent to — this is very important — the system uses your email to connect you to your school record. [ PAUSE — show the signup form on screen ] Create a password, complete any verification steps, and then click to finish. You'll be logged in and taken directly to the Accept Invitation screen.

Once you log in for the first time, you'll land right here — the Accept Invitation screen. [ PAUSE — point to the school name and employee name on screen ] You'll see your school's name, your name, and your role — for example, Employee or Teacher Aide. Take a moment to confirm that information looks correct. You'll also see an optional field to enter your mobile phone number. If you enter your number and check the SMS opt-in box, AttendaTrac will send you text message notifications when your time-off requests are approved or denied. I highly recommend turning this on — it saves you from having to check the system constantly. [ PAUSE — show the phone field and checkbox ] When you're ready, click the blue "Accept Invitation" button. This is the step that officially links your account to your employee record here at the school. Once you click it, you're in! You'll be taken straight to your personal dashboard.

Welcome to your Dashboard — this is your home base in AttendaTrac. [ PAUSE — slowly pan across the dashboard ] At the top, you'll see cards showing your current PTO balances. These are the leave types your school tracks — things like Sick Leave, Personal Days, and Vacation. Each card shows how many days you have remaining right now. Below that is a calendar view. This gives you a visual picture of your upcoming absences as well as your history for the current period. On the left side, you have your navigation menu. This is how you move between the different sections of the app. For employees and teacher aides, you'll mainly use Dashboard and My PTO.

Go ahead and click "My PTO" in the left-hand navigation. [ PAUSE — let the page load ] This page gives you the full detail on your time off. At the top, you'll see each leave type with your current balance. That number reflects what you have available after any approved or pending requests have been counted. [ PAUSE — scroll down to the request history section ] Scrolling down, you'll find your absence history — a list of every time-off request you've submitted. Each one is color-coded: — Green means it was approved. — Yellow means it's still pending review. — Red means it was denied. You can click on any row to see the full details of that request — the dates, the leave type, any notes from your administrator, and whether the days were deducted from your balance. If you ever think your balance is wrong, this is the first place to look. If something doesn't add up, reach out to your school administrator and they can review and correct it.

Now let me show you how to submit a time-off request. On the My PTO page, look for the "Request Time Off" button — usually at the top right. [ PAUSE — click the button and show the form ] A form will appear where you'll: — Select the type of leave — for example, Sick Leave or Personal Day — Choose your start and end date — Optionally add a reason or note for your administrator [ PAUSE — fill in the form on screen ] Once everything looks good, click Submit. Your request will immediately show up in your history as "Pending" while your administrator reviews it. If you have SMS notifications turned on, you'll get a text message as soon as a decision is made. That's all there is to it for employees and teacher aides. Let me now switch over and show the administrators what their experience looks like.

For our administrators — your experience is a little different. When you log in, you'll land on the admin Dashboard, which gives you a school-wide overview. Click on "PTO Requests" in the left navigation. [ PAUSE — navigate to PTO Requests page ] Here you'll see every time-off request that has been submitted by your staff. Pending requests — the ones waiting for your review — are displayed at the top. You can filter by employee, date range, or leave type to find what you're looking for. [ PAUSE — click on a pending request ] Click on any request to open the details. You'll see the employee name, the dates requested, the type of leave, how many days it is, and their current available balance for that leave type. From here, you can: — Click "Approve" to approve the request — this will automatically deduct the days from the employee's balance — Click "Deny" with an optional reason — Or mark it "Needs Discussion" if you want to follow up with the employee first [ PAUSE — show the approve/deny buttons ] The employee will be notified automatically by email or text message once you make a decision.

Administrators also have the ability to manually edit an employee's PTO balance if a correction is ever needed. Click "Employees" in the navigation, then click on any employee's name to open their record. [ PAUSE — open an employee profile ] Scroll down on their profile until you see the PTO Balances section. Here you can directly type in a corrected balance for any leave type. Just enter the new number and save — the system will record the change in the audit log automatically so you have a record of what was adjusted and when. This is useful for things like onboarding a new employee with carry-forward days, or correcting a data entry error.

Finally, let me briefly show you the School Settings area — this is where administrators configure how AttendaTrac works for your school. Click "School Settings" in the navigation. [ PAUSE — show the Settings page ] In here you can: — Manage your PTO types — the leave categories available to staff, their accrual rules, and carry-over policies — Set your school calendar, including holidays that shouldn't count against PTO — Configure whether employees can submit their own requests or whether everything goes through the admin — Manage substitute teacher tracking and pay rates if your school uses that feature — And run end-of-cycle processing at the end of each school year to roll over or pay out unused balances We won't go deep into all of that today, but know that it's all configurable from this one section.
